Environment Options: Cleanup

The Cleanup Environment options determine how often the users' messages are deleted or archived.

Mail and Phone

Manual Delete and Archive
Allows manual deletion or archiving of mail and phone messages only when users select specific messages for deletion or archiving. Although this option provides the greatest message security for users, their message databases will probably increase in size if it is chosen as the default.
Auto-Delete After
Deletes mail and phone messages from the users' mailboxes when the specified number of days elapses. The maximum time is 10,000 days. If you select this option, you should advise users to archive the messages they want to save.
Auto-Archive After
Archives mail and phone messages from the users' mailboxes when the specified number of days elapses. The maximum time is 10,000 days. If you select this option, you should advise users that they can access these messages only through their archives.

Appointment, Task and Note

Manual Delete and Archive
Allows manual deletion or archiving of appointments, tasks, or notes only when users select specific messages for archiving or deletion. Although this option provides a personal audit trail for users, their message databases will probably increase in size if it is chosen as the default.
Auto-Delete After
Deletes appointments, tasks, and notes from the users' mailboxes when the specified number of days elapses. If you select this option, you should advise users to archive the messages they want to save.
Auto-Archive After
Archives appointments, tasks, and notes from the users' mailboxes when the specified number of days elapses. If you select this option, you should advise users that they can access these messages only through their archives.

Empty Trash
Even after mail items are deleted, they still use space in the message database and can be retrieved from the Trash until it is emptied. You might want to delete items in the Trash after a reasonable time interval.

Manual
Empties the Trash only when the user manually selects the Empty Trash option.

Automatic After
Empties the Trash after messages have been in it for the specified number of days.

Do Not Purge Items Until They Are Backed Up
Prevents items that have not been backed from being purged (emptied) from users' mailboxes. After the post office has been backed up using the GroupWise Target Service Agent for File Systems (TSAFSGW) and your backup software of choice, users are able to empty backed-up items from their mailboxes.

This is similar to the message retention feature which ensures that no items are emptied before they have been retained by a message retention service. If your system employs both backups and message retention, users cannot empty items from their mailboxes until the items have been both backed up and retained.

Preventing purging before backup is configurable only by administrators, not by GroupWise users. These options do not display in the GroupWise client.

Prompt User Before Purging
Prompts users before they can purge (empty) mailbox items. Emptied items cannot be undeleted by users. This option takes effect if users are not prevented from emptying items by the Do Not Purge Items Until They Are Backed Up option or by a message retention service.

Perform Maintenance Purges on Caching/Remote
Purges items from users' Caching and Remote mailboxes according to the size limits set on the Disk Space Management tab (Tools > GroupWise Utilities > Client Options > Send > Disk Space Management), regardless of the amount of available disk space on users’ hard drives. The size limit is applied the next time the GroupWise® client synchronizes with users’ Online mailboxes. Because users might lose items that they have been storing locally when the size limit is enforced, you should warn users that size limits are going to be placed on their local Caching and Remote mailboxes.

Force Synchronization of Cleanup Options to Caching/Remote
Transfers the cleanup options you set in ConsoleOne to users' Caching and Remote mailboxes and locks them, so that the cleanup options are performed even if users are working in their Caching or Remote mailboxes without being connected to the network.

Restore Default Settings
Click to return to the default settings and clear any options you have changed.

Lock Buttons
If you click a lock button on any option, users cannot change the default setting for that option. The lock is effective for the object where you set it: domain, post office, or user. A lock at a higher level overrides a different setting at a lower level.

When settings are locked at the domain or post office level, the information is distributed to the levels below it. If a setting is locked at the domain object, the setting in the post office and user objects shows a padlock with a globe next to it, representing a domain. If it is locked at the post office object, the setting at the user object shows a padlock with a postal box next to it, representing a post office.

If a setting cannot be locked at the user level because the option is not available in the GroupWise client, the setting in the user object does not contain a lock button. However, a lock icon shows if the setting was locked at the post office or domain.
